Executive – Project Operations
Job Summary
Responsible for overseeing site material coordination, installation work, and overall site execution to ensure timely delivery, quality standards, and smooth project implementation. This includes managing material receiving and distribution, supporting mock-up and installation stages, maintaining proper site documentation, attending site meetings, and coordinating with contractors and stakeholders.
Job Responsibilities
To ensure efficient and organized material receiving with the practice of Goods Delivery and Receiving
- Identify site condition before delivery and advise PM for delivery schedule.
- Secure proper storage area that is safe from potential damages.
- Check material quantity delivered to site is according to DO / Packaging List.
- After confirmed material quantity, sign-off and return DO to HQ within 72 hours. Immediately highlight for any damages, shortage or item discrepancy.
- Ensure material hoisting & distribution to specific floor/units within 48 hours.
- Ensure distributed materials must be installed within 9 days.
- Coordinate with Main Contractor on the usage of passenger hoist and internal lift for our Subcontractor.
To assist Project Manager during Mock-Up stage
- Assist PM during the mock-up installation work.
- Check all installation works setting out are based on approved shop drawings by the Client / Architect.
- To record and highlight any discrepancies to PM / Sales accordingly.
To execute the site installation works as planned by PM
- Execute the project according to the Project Planning provided by PM.
- Understand contract Work Programmed and scope of works.
- Constantly observe site progress and ensure to highlight all obstructions to PM and Main Contractor properly.
To submit daily reports to PM as the daily task required
- Submit daily report to PM includes amount of manpower for each trade, work progress, problems at site and all other necessary information needed.
- Submit weekly building graph progress to PM and QS for claim purpose.
- Submit site obstruction photos and description with unit number and type.
To practice Site Administration and Documentation
- Prepare all related site documents such as CVI, RFI, SI, SM, PMR, Site Measurements, Obstruction Reports and submit to PM for review.
- To tabulate Site Measurement and seek solutions with PM, Detailer and Designer for any discrepancies.
- Maintain good filing system for site document reference and tracking.
To attend site meeting as and when required
- Attend site meeting as and when required by client and Main Contractor.
- Minutes of Meeting to be extended to PM for info and action.
- Follow up with PM for action plans on instruction from Main Contractor.
To ensure quality and standards are met during installation works
- Ensure site condition is ready for Subcontractor to start works.
- Ensure installation work as per shop drawings.
- Ensure installer work progress based on work programmed.
- Ensure installation works to comply with company standards, procedures and specifications and as specified by Client / Architect.
- Ensure correct method of installation done by the installer.
- Ensure installer use proper tools for the installation work.
- Remind Subcontractor to practice good housekeeping on a daily basis.
- Ensure cleaning and protections are done on completed installation items.
- Practice Work Completion Acknowledgement inspection with Subcontractor once each installation work is done.
Manage and Coordinate handover inspection and defects rectification
- Ensure Request For Inspection (RFI) joint inspection with Main Contractor is done and sign-off.
- Ensure installer to close the Main Contractor defects list.
- Obtain sign off from Main Contractor defects list once defects are closed.
- Request and receive SR materials accordingly whenever required.
- Ensure Owner defect list during Vacant Possession (VP) and Defect Liability Period (DLP) are recorded in Defects Log and attended on time with sign-off.
- Assist on handover documentation, manual & handover kit to Client.
- Provide information for As-built Drawings submission.
To practice good interpersonal communication skills
- Practice good working relationship with Client, Main Contractor, Subcontractors, suppliers, colleagues and superior.
- Attend and record site complaints effectively and efficiently when they arise.
Job Requirements
- Min. Certificate/Diploma in Project Management/ID Fit-Out/Civil Engineering or equivalent.
- Min. 3-4 years’ experience in construction industry or related field.
Product Knowledge
- Able to understand Shop Drawings and Production Order.
- Able to identify product components and installation methods.
- Able to prepare and request SR correctly.
Management Skills
- Able to coordinate logistic planning and material distributions.
- Able to coordinate manpower arrangement at site.
- Able to manage and monitor job scope with external parties of the project.
- Able to coordinate and supervise site installation work Subcontractors.
Administrative Knowledge
- Able to produce daily site progress report to PM.
- Able to update the progress graph to PM.
- Able to prepare, update and record necessary project site documents.
